The Real Estate Coordinator is a PT weekend position. You will be responsible for providing administrative support to the sales team and management, focusing on four essential functions, (i) sales and contract administration, (ii) reception duties, (iii) reporting, and (iv) sales office management. 
ESSENTIAL FUNCTIONS:
  • Open and close Sales Center and models daily
  • Coordinate routine maintenance of sales office and models
  • Manage the day-to-day needs of the Sales Center
  • Greet prospects and answer incoming calls      
  • Respond to voicemails, emails and daily mail   
  • Enter and update visitor and broker registration in SalesForce
  • Prepare and send out mail, overnight packages, correspondence and marketing mailings
  • Manage office supply inventory and order supplies as needed              
  • Submit and track processing of sales office payables in Nexus               
  • Maintain current vendor insurance list to ensure appropriate coverage is maintained by the vendors                     
  • Provide administrative and operational support for project     
  • Assist with weekly reports and special projects              
  • Update and maintain internal sales team calendar                      
  • Take notes during weekly sales meetings and distributes meeting minutes
  • Work with Escrow Manager to:               
  • Coordinate unit files, track reporting with sales team, and updates all reports
  • Ensure all CIM Group documents and sales contracts are archived in SharePoint on a monthly basis                         
  • Work with Marketing Manager to:                        
  • Coordinate events                
  • Track event attendance in SalesForce                        
  • Marketing administration
  • Other duties as may be assigned 
  • EDUCATION/EXPERIENCE REQUIREMENTS:
  • High school diploma or equivalent
  • College degree preferred 
  • 1-2 years of administrative / marketing support experience
  • 1-2 years of customer service experience
  • Real estate experience preferred
  • Proficiency with Microsoft Suite (Outlook, Word, Excel)
  • Knowledge of SalesForce and SharePoint preferred
