Facilitate all new acquisition on-boarding and asset off-boarding tasks and processes associated with asset procurement, management transition and asset dispositions. Incumbent will work closely with Investments, Property Management, Legal, Accounting, Development and IT departments. Assist with Business Systems management and support as it relates to asset on-boarding and/or disposition. Perform Special Projects as needed. Support day to day asset operations.
ESSENTIAL FUNCTIONS:Coordinate all aspects of on-boarding for new acquisitions management transition, including but not limited to: Entity breakdown, service agreement creation, org chart design, systems access and set up, lease abstracting, GL mapping, collection of legal and insurance documentation, bank account setup, IT infrastructure setup, operational set up and operational off-boarding. Assist with new vendor set up, including but not limited to: obtaining new vendor insurance, vendor contract creation etc.Assist with utilities transfer, vendor and tenant notifications at asset acquisition and disposition as needed. Collaborate with IT Department to ensure site surveys are completed, installation of appropriate IT equipment (hardware and software) to ensure smooth integration of asset into CIM operations including basic IT infrastructure and new user account setup on relevant systems. Assist with operations of all 3rd party managed assets in the first 60 days to ensure all CIM processes are in place and property operations meet CIM requirements. Coordinate and perform all on-boarding training that is required for new acquisitions, including third party managers. Facilitate the integration of assets into accounting process including but not limited to staff training, system implementation, assignment of property level accounting staff. Coordinate all aspects of off-boarding for asset dispositions including but not limited to: Dissolving entities, collection of legal and insurance documentation to buyer, IT system user deactivation, and operational off-boarding. Collaborate with IT Department to ensure removal of appropriate IT equipment (hardware and software) for asset dispositions, to ensure smooth transition to the buyer. Ensure all new acquisition and asset disposition paperwork is updated and completed in a timely manner. Complete special projects, as needed. Provide operational support for business applications related to Yardi, RealPage, Bluemoon, CoreLogic and Angus (e.g., tenant portals, insurance tracking, revenue management, and utility billing).
EDUCATION/EXPERIENCE REQUIREMENTS Bachelor’s degree and/or a minimum of 5 years' experience in real estate management and acquisition, property due diligence and onboarding of acquisitions for a variety of portfolio types: commercial, residential and mixed use. Public experience preferred but not required.Experience with policies and procedures related to the efficient and effective running of a property management office for residential and commercial assets.Ability to effectively present information to tenants, vendors, contractors and other employees of the organization. Ability to read, analyze and interpret lease agreements, financial reports and/or legal documents. Ability to respond to common inquiries or complaints from tenants, regulatory agencies, other areas of the company, and/or members of the business community. Demonstrated proficiency in Microsoft Office applications including but not limited to Outlook, Excel, PowerPoint, Yardi and Nexus.Experience with office equipment such as printers, copiers, scanners, etc.
